What Happens Between Meetings: A Look at Our Client Service Calendar

When most people think about financial planning, they think about the review meetings—the time we spend sitting down together, talking through your situation, and making decisions.

Those meetings are important. But they’re only a small part of the work.

Behind the scenes, there is a continuous process unfolding throughout the year. To make that more visible, we’ve created a Client Service Calendar that outlines how we approach planning, investment management, and client service across the full year.

While no two client situations are exactly alike, there is a general rhythm to the work.

At the beginning of the year, much of our focus is on looking backward so we can plan forward. We review tax documents as they become available, identify planning opportunities, and coordinate, when appropriate, with your CPA. This is also a time when we evaluate whether any adjustments are needed based on changes from the prior year.

As we move into the middle of the year, the focus shifts more toward ongoing portfolio management and long-term planning. We are reviewing allocations, monitoring performance, and making adjustments where necessary. This is also a time when we often revisit broader planning topics—retirement projections, cash flow, and evolving goals.

Later in the year, the work becomes more forward-looking again—but with a sharper focus on deadlines. We are actively looking at tax planning strategies, required distributions, charitable giving opportunities, and other decisions that need to be implemented before year-end. This tends to be one of the busiest times of the year, as many planning opportunities are time-sensitive.

What the calendar cannot fully capture is the ongoing work that happens in the background. We are continuously monitoring portfolios, staying on top of market and economic developments, preparing for upcoming meetings, and following through on the action items that come out of our conversations. In many cases, this also includes coordinating with other professionals and making sure all the moving pieces of your financial life are aligned.

It is also important to emphasize that this calendar is a framework—not a rigid schedule. Your planning needs may not align perfectly with any given month or season. Some years require more attention in one area than another. Some situations arise unexpectedly. When that happens, we adjust. The calendar is meant to provide structure, but not constraint.

Our goal is simple: to ensure that your plan is not something we revisit once or twice a year, but something that is actively managed and thoughtfully maintained over time.

The meetings are where we connect. The real work continues in between.
